DATA COLLECTED BY LASER MAGIC ABOUT YOU

If you purchase a product, subscribe to our newsletter, log in to our services, contact us (whether through social media or not), participate in an online survey, or interact with Laser Magic in any other way, we may collect various data, including:

  • Your contact information such as your name, address, phone number, and email address, or any other data, such as the name of your company, its address, and VAT number.
  • Your account data, such as your email address and account status.
  • Your payment data, such as your billing address and payment method.
  • Your transaction data regarding the purchase of products and services from Laser Magic.

PHONE CONTACT

If your phone number is in our customer database, our employees can automatically see your customer data. This allows us to serve you more quickly and efficiently. During a conversation, we may add notes to your personal data in our database. This way, we can provide better follow-up to these conversations. We do not record our phone conversations.

Within our company, everyone has access to your information to some extent. Our employees do everything in their power to respect your privacy.

WHERE DO WE STORE YOUR DATA?

Your data may be stored in one of the following locations:

  • Paper archives. Financial transaction records (such as invoices) are not only stored digitally but also on paper. We keep them for at least 10 years. These archives are securely stored, under lock and key.
  • Temporary paper prints. Sometimes it is simply easier to have a paper copy. If this document contains personal data, it is destroyed using a shredder after use.
  • Digital support. We store your data in databases with strict security measures. Therefore, your data is almost always stored within the European Union. In the exceptional case that customer data is transferred to countries outside the European Union, we ensure the adequate protection of your privacy. For several countries, this is officially established. Some American parties have joined the Privacy Shield, which offers sufficient protection. Or we work with official standard contracts, specifically drawn up to ensure compliance with your privacy.

HOW LONG DO WE STORE YOUR DATA?

The duration for which we retain your data depends on the relationship we have with you.

  • If you purchase a product or service: We do not delete your data from our database. We do this for security reasons.
  • If you request information: If you have not yet made a purchase from us and request information about our products or services, we will record your data in our customer database. After ten years of inactivity, we delete your data.
  • If you subscribe to a newsletter: You can manage this subscription online. We keep a copy of this registration in our customer database.
  • If you apply: We delete data related to your application a maximum of 1 month after the end of the recruitment process. In some cases, we deviate from this practice, especially if we want to contact you later for new job offers. However, we only do this with your consent. If you are hired, we attach your application data to your contract.

The tax authorities require us to retain your billing, payment, and order data for 10 years. After that, we only use anonymous data for internal reporting.

WHAT ARE YOUR RIGHTS?

You remain in control of your data. Do you want to access your personal data for free or receive a copy? Do you want to modify your data, delete it, limit its use, or adjust your email preferences? No problem. Let us know by mail or email. This way, you can also object to the use of your data for commercial purposes or indicate that your privacy is more important to you than our interest. In that case, we will reevaluate the situation.

Payment Terms

KDS Vilvoorde SRL facilitates the payment of its services by offering several secure options. Below are the applicable payment terms:

  • Payment Methods: We accept payments via bank transfer, Bancontact, Maestro, Visa, Mastercard, and American Express. All transactions are secured to ensure the protection of your data.
  • Order Finalization: Once the order form is validated, the sale is considered final. Any request for modification or adjustment must be addressed to our customer service and is subject to written approval.
  • Deposit: Depending on the nature of the services, a deposit may be required to confirm the reservation. If this deposit is not paid within the agreed timeframe, KDS Vilvoorde SRL reserves the right to cancel the order.
  • Complaint Handling: If you encounter a problem or have questions related to payment, our team is at your disposal. Contact us via email or through the contact form on our website, and we will respond as quickly as possible.

Delivery Terms

All KDS Vilvoorde SRL services are carried out on specific dates and at specific locations, as agreed upon when placing the order. Below are the specific delivery terms:

  • Location and Date of Execution: Services are performed in person at the location and on the date specified during the order process or as per a subsequent agreement. Please ensure the accuracy of this information before validating your order.
  • Advance Payment: All our services must be paid in advance unless another arrangement has been agreed upon with our team. This rule secures your reservation and ensures optimal organization of our services.
  • Service Confirmation: A confirmation email will be sent to you detailing the date, time, and location of the service. Provided the payment has been made, this confirmation ensures that your request has been scheduled and that our team is informed of the details.
  • Complaint Handling: For any questions or issues regarding the service, we encourage you to contact us via email or through our contact form. Each request will be handled promptly to meet your expectations.

Return and Withdrawal Policy

Laser Magic is a service provided by KDS Vilvoorde SRL, a company registered in Belgium under the number 0632827109.

The services offered by KDS Vilvoorde SRL are subject to the following return and withdrawal conditions:

  • No Returns Applicable: Due to the nature of our services, which are intangible and non-tangible, no returns or refunds are possible once the service has been performed.
  • Exclusion of the Right of Withdrawal for Customized Services: Customized services are not subject to the right of withdrawal. KDS Vilvoorde provides a leisure service for which a specific date or time period has been agreed upon. By confirming a custom service order, you explicitly agree to this condition.
  • Complaint Handling: For any questions or complaints regarding a service, please contact us via email or through the contact form on our website. We are committed to processing every request promptly and providing you with quality assistance.

Order Terms

Laser Magic is a service provided by KDS Vilvoorde SRL, a company registered in Belgium under the number 0632827109.

The following order terms apply exclusively to transactions carried out via the KDS Vilvoorde SRL website. They do not replace other specific organizational aspects, such as potential entrance fees or other external costs.

  • Finalized Order: The order is considered finalized and definitive upon the validation of the online order form. This confirmation implies the user’s acceptance of the present terms and conditions.
  • Deposit and Reservation Conditions: For certain services, KDS Vilvoorde SRL reserves the right to request a deposit. If the deposit is not paid within the required timeframe, the order may be canceled without prior notice. This policy ensures effective organization and consistent service quality.
  • Limitation to Ordering Terms: The conditions stated here pertain solely to online orders and do not replace provisions related to entrance fees or other specific applicable terms.
  • Complaint Handling: We are committed to processing any inquiries or complaints related to an order in a prompt and professional manner. To contact us, please use the email or contact form available on our website.

If the client does not attend the activity without having paid or canceled in advance according to our general terms and conditions, KDS Vilvoorde reserves the right to apply a penalty clause in the event of total or partial non-payment. After a reminder has had no effect, compensation provided for by Article XIX.4, § 1 of the WER will be applied:

  • €20 if the debt is ≤ €150;
  • €30 + 10% of the amount due between €150.01 and €500;
  • €65 + 5% of the amount due beyond €500 (capped at €2,000).

Additionally, in accordance with Article 5 of the Law of August 2, 2002, concerning the fight against late payment in commercial transactions, late payment interest will be applied at the applicable legal rate starting from the invoice's due date. This rate is published semi-annually in the Monitor Belge.

Cancellation Policy – Games and Standard Sessions

If you are unable to attend your reservation, it will still be considered due, as we have reserved a time slot specifically for your team, which prevents us from accommodating other players. In the event of a no-show or cancellation made less than 72 hours before the scheduled date of your reservation, 100% of the total cost of the service will be charged.

Cancellations by phone are not accepted. Please inform us via email at info@lasermagic.be at least 72 hours prior to the scheduled date of your reservation. For birthday reservations, up to 3 participants can be canceled by the final day.

Cancellation Policy – Services Beyond Standard Games and standard sessions

Cancellation Notification: All cancellations must be communicated in writing to our team at the email address info@lasermagic.be.

Cancellation Fees: In the event that the cancellation is made less than 1 week before the event, or in the case of no-show on the day of the event, cancellation fees will apply. We charge a minimum of 70% of the total cost based on the initially communicated number of participants.

In the case of non-payment, KDS Vilvoorde SRL will apply a penalty clause in accordance with Article XIX.4, § 1 of the Belgian Code of Economic Law (WER), as follows:

  • €20 if the debt is ≤ €150;
  • €30 + 10% of the amount due between €150.01 and €500;
  • €65 + 5% of the amount due above €500 (capped at €2,000).

Additionally, in accordance with Article 5 of the Law of August 2, 2002, concerning the fight against late payment in commercial transactions, late payment interest will be applied at the applicable legal rate from the invoice due date. This rate is published semi-annually in the Moniteur Belge.

This measure is intended to compensate for the exclusive closure of our center for your event, as well as the operational and logistical costs incurred. For large groups of 60 people or more, we request that any cancellation be made at least 2 weeks before the event date. This additional period is necessary due to the increased complexity of the logistics and planning involved.

Policy on Outside Food and Beverages

Food safety is our top priority. As a leisure and dining establishment, we are responsible, under the regulations of the AFSCA, for the quality and safety of all food consumed on our premises.

To ensure compliance with strict health standards and expiration date controls, bringing outside food or beverages into our facilities is strictly prohibited.

If outside food is consumed within the establishment, the following measures will be taken:

  • Immediate disposal of the items in question;
  • Thorough cleaning of our facilities to prevent any risk of cross-contamination.

These procedures incur unexpected costs that are not included in our standard pricing. As such, Laser Magic reserves the right to charge a flat fee of €50 per person to cover these expenses.
